Portfolio DAM: On-Premise Digital Asset Management

Portfolio DAM is a well-established DAM system and, since March 2026, back under a vendor actively developing it: Portfolio DAM, LLC, a subsidiary of Axle AI. For existing customers who had written off the product during the years of neglect, a fresh look is worth the effort. For new customers with data sovereignty requirements, Portfolio DAM is a serious option beyond the cloud mainstream.

3f8h.net / electronic publishing has supported Portfolio DAM installations since February 2004. For over a decade we were the only Platinum Integration Partner in Europe. Extensis sent us directly to customers with problem cases, and we recovered systems the vendor had already given up on.

Today we sell and integrate Portfolio DAM in its new incarnation: on-premise at the customer site or hosted through us in Germany.

From Extensis spin-off to standalone product line

Extensis treated Portfolio DAM as a secondary product for years. Extensis was acquired by Monotype. On 9 March 2026, Portfolio DAM was spun out to Axle AI and has since operated as Portfolio DAM, LLC.

Axle AI has been an on-premise media asset management specialist since 2018 and serves over 1,000 customer sites worldwide. CEO Sam Bogoch comes from the Avid world (Interplay, Media Central). Product Manager for the new Portfolio DAM division is Richard Bamford, an Extensis Portfolio specialist for more than two decades. Our working relationship with Richard goes back just as far. This is not an unfamiliar acquisition team, it’s continuity.

The first visible result: the release of Portfolio DAM 4.1.1 (March 2026). The Apache Tomcat stack is updated to 9.0.115, the Java runtime to Open Azul JRE 1.8.0_481. The macOS Electron apps have been modernised, and the browser UI is tested on current Chrome, Safari, and Edge versions. For smaller sites, Portfolio DAM now also supports Windows 10 and 11 Desktop as an entry-level server, which significantly lowers the hardware bar.

What Portfolio DAM can do today

  • Catalog architecture: the central metadata database points to original files at their original storage location (NAS, SAN, local server, cloud bucket). Storage and asset management stay separate.
  • Active Directory and LDAP integration: automated user provisioning with tiered access rights, compatible with your existing identity infrastructure.
  • REST API: integration into custom workflows. Pre-built components for LDAP SSO, DropZone (web-based drag-and-drop upload), query-to-email digest.
  • Galleries and permissions: virtual collections without duplicating original files, granular permissions per asset, catalog, or gallery.
  • Renditions on the fly: users create their own resolutions and formats from the original, without going through the design team.
  • NetPublish: branded external portals built from catalog content, with access control. Share brand assets without manual distribution.
  • Format variety: images, video, audio, documents, graphics. Drag-and-drop into Adobe InDesign, Photoshop, Illustrator, and Microsoft PowerPoint and Word.
  • Optional AI module: auto-tagging, image recognition, AI-assisted search. Fully on-premise, no training on customer data.
  • Flexible deployment: physical or virtual servers, private cloud on AWS, Azure, OVH, or other providers, container options on request.

A judgement call, not a blanket recommendation

Portfolio DAM fits:

  • Publishers, printers, brand operations, and agencies with small to mid-sized asset volumes that want to keep their data on-premise or in European hosting
  • Existing Extensis Portfolio customers with working workflows who need a vendor with an actual roadmap
  • Organisations with GDPR, BSI, or industry-specific compliance requirements that cloud-mainstream DAMs cannot meet
  • Teams with existing NAS/SAN infrastructure that don’t want to move storage into a vendor cloud

Portfolio DAM doesn’t fit:

  • Marketing teams looking for a cloud-native brand portal with public sharing for hundreds of external stakeholders
  • Enterprise setups with multi-tenant requirements and global geo-distribution
  • Organisations unwilling to run a server or take hosting from a reseller

On-premise at your site or hosted through us

Portfolio DAM runs on physical or virtual servers in your environment. If you can’t or don’t want to operate the infrastructure yourself, we host it for you. We run Portfolio DAM instances in German data centres, with technical details and options discussed individually.

Option 1: You install and operate yourself. We deliver licence, setup, migration from the legacy system, and ongoing support.

Option 2: You use our managed hosting. You focus on your content and workflows, we handle infrastructure, backups, updates.

Over two decades of Portfolio DAM experience

Since February 2004 we have planned, installed, and maintained Extensis Portfolio (now Portfolio DAM). For over a decade we were the only Platinum Integration Partner in Europe. We still run an old Extensis Portfolio. What’s the migration path?

An upgrade path is available. We are planning an upgrade pilot programme for the coming months, in which we migrate existing customers in an orderly fashion to the current Portfolio DAM version. If you’re interested, get in touch early and we’ll put you on the list.

What sets Portfolio DAM apart today from a cloud DAM like Canto, Bynder, or Frontify?

Three points: first, data stays with you or in a European data centre of your choice, not in a vendor cloud. Second, the licensing model is also available as perpetual, not pure subscription. Third, the optional AI module runs on-premise and your data is not used for model training.

What does the AI module actually do?

Image classification, object and scene recognition, automatic tag suggestions, AI-assisted search. Entirely on-premise. Portfolio DAM, LLC receives neither training data nor inference inputs. Optional, separately licensable.

We have an Active Directory or LDAP infrastructure. Can Portfolio DAM integrate with it?

Yes. Portfolio DAM offers LDAP/AD integration for automated user provisioning and single sign-on. Permissions can be mapped along your existing identity structure. At Grandi Stazioni Rail, operator of the 14 busiest Italian railway stations, exactly this integration is in production use.

We don’t want to run our own hosting. Can you handle it?

Yes. We operate Portfolio DAM instances for customers in German data centres. The specific provider and setup is discussed individually.
