n8n for Publishing: Workflow Automation with Substance
n8n is the fair-code workflow automation platform with 400+ integrations, a visual node editor, and native AI capabilities. In publishing we deploy n8n as an orchestrator: for metadata, status updates, API connections, and everything that needs to run fast and flexibly in the background.
What is n8n?
n8n is a self-hostable platform for workflow automation. Workflows are built visually by connecting nodes; each node represents an action: an API call, a data transformation, a webhook. The fair-code license allows on-premise operation on your own infrastructure, which is decisive for publishers and print service providers with strict data protection requirements.
Core features:
- 400+ pre-built integrations plus a generic HTTP request node for any REST API
- Code nodes for JavaScript and Python when the standard nodes are not enough
- Self-hosted (Docker, Kubernetes) or n8n Cloud
- Native connection to LLMs and vector stores for AI-driven workflows
Why n8n in publishing?
The classic publishing stack has two kinds of workflows: heavy data pipelines (PDFs, InDesign documents, GB-sized media files) and lightweight orchestration layers (metadata, status, notifications, API calls). They have different requirements and need different tools.
Switch vs. n8n at a glance
| Enfocus Switch | n8n | |
|---|---|---|
| Processing model | hot folders and job tickets, file-based | API calls, webhooks, and triggers, event-based |
| Strength | heavy media files, PDF processing in the MB to GB range | lightweight orchestration, metadata, status, notifications |
| Publishing toolchain | PitStop, callas, imposition, color management natively integrated | via our custom nodes (WoodWing Assets, callas pdfToolbox REST) over REST or generic API calls |
| License | commercial, modular (Enfocus) | fair-code, free for self-hosting |
| Customization | Apps and Switch Scripting (JavaScript ES3 or Node.js) | code nodes (JavaScript, Python), custom nodes (TypeScript) |
| Integrations | print MIS, web-to-print, press configurators | 400+ generic, plus AI/LLMs and vector stores |
| Typical fit | classic print production with high data volumes | API-driven orchestration between systems |
This split is not dogmatic. We pick the tool that fits the task, and combine both when the pipeline calls for it.
What is n8n used for in publishing?
- Metadata synchronization between WoodWing Assets and downstream systems
- Webhook-driven pipelines in WoodWing Assets: status changes trigger follow-up processes
- PDF pipelines with the callas pdfToolbox Server via REST: input check, correction, output routing
- Order and approval workflows between editorial, production, and external communication
- Status and escalation notifications to Slack, Microsoft Teams, email
- API bridges between systems that don’t natively speak to each other: CMS, ERP, DAM, CRM
Which custom n8n nodes has 3f8h.net built?
Where the n8n standard nodes are not enough, we build our own. For the vendor stacks where we are deepest at home:
- WoodWing Assets Node: direct access to the Assets API, asset and metadata operations, webhook reception
- callas pdfToolbox REST Node: 9 operations for preflight, conversion, splitting and layer processing
Custom nodes are a technical differentiator. Standard users do not need them, but when a workflow has to run reliably and the HTTP request node becomes too clumsy, they make the difference.
Our approach: substance over hype
There is a strong hype wave around n8n right now: AI agents built in two hours, automation miracles for SMEs, teenagers replacing entire departments. We deliver something different.
- 15+ years of experience with workflow automation in prepress. We know where real production workflows hit friction.
- Clean, documented architectures instead of node spaghetti
- Maintainable workflows that someone else can still understand two years later
- Clear tool mapping: not every workflow belongs in n8n
When is n8n NOT a good fit?
Not every workflow belongs in n8n. Three constellations where we actively advise against it:
- Heavy PDF pipelines in the GB range. Enfocus Switch is the more robust tool here, because it operates file-based and handles large media files natively. n8n as an API orchestrator is too lightweight for that load.
- High-volume prepress automation. When hot folders, imposition, and color management need to be natively integrated, Switch is the right address. n8n can run alongside, but not replace it.
- When no API exists. n8n thrives on API calls and webhooks. Where systems offer no REST interface, we reach for other tools.
This honest tool boundary is part of our brand: the right tool for the task, not the currently fashionable one.

Frequently asked questions about n8n in publishing
What is n8n?
n8n is a fair-code platform for workflow automation. Workflows are built visually by connecting nodes; each node is an action: API call, data transformation, webhook. Available self-hosted or as a cloud service.
What is workflow automation in the publishing context?
In publishing, workflow automation is the orchestration of processes between editorial, production, prepress, and delivery. Instead of manual steps (copying a file, updating a status, requesting an approval), these run as API calls, webhooks, or file-based pipelines automatically in the background.
When is n8n NOT the right tool?
For heavy PDF pipelines in the GB range, high-volume prepress automation, and wherever no API exists. For these cases, Enfocus Switch is the more robust tool. See the “When is n8n NOT a good fit?” section above for details.
How is n8n different from Enfocus Switch?
Switch is file-based (hot folders, job tickets) and strong in PDF and media file processing. n8n is API- and event-based and strong in orchestration between systems. They complement each other: Switch processes the heavy data, n8n coordinates the workflow around it.
Which WoodWing and callas integrations are available for n8n?
3f8h.net has built two custom n8n nodes, both published on npm: a WoodWing Assets Node (9 operations: Login, Search, Asset History, Create, Update, Download and more) and a callas pdfToolbox REST Node (9 operations for preflight, correction, conversion, splitting, and layer processing).
How secure is n8n for GDPR-relevant data?
Through its fair-code license, n8n allows on-premise operation on your own infrastructure (Docker, Kubernetes, on-premise). Your data stays in your hands, without third parties as with pure cloud iPaaS platforms. This is a decisive factor for publishers, banks, and insurers with strict compliance requirements.
What does n8n cost in practice?
The n8n software itself is free for self-hosting (fair-code license). The n8n Cloud variant has tiered subscription pricing based on workflow volume. The real costs in practice are implementation: workflow analysis, architecture design, custom nodes where needed, and ongoing maintenance. We’re happy to discuss this in an initial conversation.
